How do we support security questionnaire answers with reusable evidence?

Treat each substantive answer as a claim needing an owner, scope and supporting record. A reusable evidence file prevents contradictory answers and repeated collection work. It also helps sales and technical teams distinguish what exists today from an improvement that has only been planned.

What is the claim behind the question?

“Do you review user access?” sounds like a yes-or-no question. The buyer may be asking whether unnecessary privileges remain after people change roles. A procedure explains the intention; a dated review with completed removals demonstrates execution.

Identify the service being purchased before answering. A measure in one platform may not cover the product described in the contract. Keep the boundary beside the answer so it survives copying into the next questionnaire.

How do we describe partial implementation?

An illustrative answer is: “Production administrator access is reviewed quarterly. The latest review covered named accounts. Service-account ownership is being checked separately by the platform lead.” Use that wording only when the facts are true.

The pattern is current state, coverage, limitation and accountable next step. Do not turn an intended date into a promise without the owner’s agreement. If the form permits only yes or no, use its comments field or ask how qualifications should be recorded.

What belongs in the evidence file?

Store an approved response, evidence location, owner and review date for each recurring topic. Link to authoritative records instead of circulating uncontrolled copies. Keep an internal version with full detail and a shareable version with unnecessary personal and security-sensitive information removed.

For each customer submission, preserve the exact answers and attachments sent. Otherwise another team may contradict a previous representation. An answer library needs change control: name who may amend a statement and who must approve that amendment.

Who approves the response?

The technical owner confirms facts. Legal or commercial colleagues assess commitments and disclosure. Management accepts material residual risks. Sales coordinates the deadline but should not have to infer whether a control operates.

Record follow-up questions after submission. Repeated requests for missing evidence reveal a practical improvement priority. This feedback makes the next questionnaire easier and directs investment toward recurring obstacles. Check the library before reuse; the existence of an approved answer last year does not make it accurate today.
